How to use Autoresponders

Now that you have logged into your cPanel account and created your email address, this tutorial will help you set up an Autoresponder for your email account i.e. email@yourdomainname.com. Let’s get started;

 

  • Log into your cPanel account and scroll down to Mail section.
  • Click the Autoresponders button which will take you to the Autoresponders interface similar to one as shown in Fig. 1.
  • Make sure to select the correct domain from the drop-down menu on the right side of the screen as shown in Fig. 2.
  • Click the Add Autoresponder to add a new Autoresponder.
  • On the next screen as shown in Fig. 3, fill in the fields to create your Autoresponder.
    • Select the standard character set utf-8 or any other from drop down menu
    • Set the number of hours to wait before Auto-responding to the same email address in the Interval field.
      • Let’s assume you have entered 3 hours in the Interval field.
      • If you receive an email from user@company.com. The Autoresponder will respond to it with the pre-defined message (see the item number “h” in this list).
      • Now if you receive another message from the same email address i.e. user@company.com within 3 hours as set in the Interval field, the Autoresponder will not respond to it.
      • If you receive message from user@company.com 3 hours later the first message, the Autoresponder will again respond to it.
    • Enter the username of the email address you are setting up the Autoresponder for i.e. email in our case.
    • Select the correct domain from the drop-down menu i.e. yourdomainname.com in our case.
    • Enter the display name in the From field.
    • Enter the subject of Autoresponder message in the Subject field.
    • If the body of the message will include HTML tags, check the box below the Subject field.
    • Enter your Autoresponder message in the Body field. 
    • You can start this Autoresponder from the moment it is set up or can set custom date/time in the Start field. Auto-responds will be sent from this date/time.
    • You can select when to stop the Autoresponder from sending responds by setting the date/time in the Stop field. This must be later than the Start time.
    • The Autoresponder will work/be active between the Start and Stop date/time.
    • Click the Create/Modify button to create or modify the Autoresponder.
  • Congratulations, you have successfully created/modified your Autoresponder and it will appear in the Autoresponders list now.
  • If you wish to delete a specific Autoresponder, click the delete button in front of that Autoresponder, confirm the action on the next screen and the Autoresponder will be deleted.
